Executive Assistant

Multiple positions available in Mountain View, CA.

We're looking for dynamic, take-charge Executive Assistants to support senior management and executives in our Mountain View, CA office.

The ideal candidate will play a central role in keeping the business operations/activities organized, on track and moving forward. Candidates must have exceptional communications skills, be flexible yet thorough and possess the ability to manage multiple tasks efficiently while working productively in a fast-paced, team-oriented environment.

Job responsibilities:

  • Administrative tasks include managing schedule, calendar, phone and email; making travel arrangements; submitting and tracking internal requests; coordinating hiring activities and schedules; coordinating meetings and group events; proofreading documents; and participating in key projects. Tasks also include preparing POs and tracking department budget.
  • Must be able to assist in preparation of presentations and assist with correspondence, memos, charts, tables, graphs, plans, etc. Also responsible for generating weekly department status reports.
  • Partner with facilities to ensure that we have adequate room for growth, help drive required moves that will minimize disruption and keep employees happy and productive.
  • Act as liaison with other departments and outside agencies, including senior-level management.
  • Handle confidential and non-routine information.
Experience/Education:
  • 3-5 years administrative experience in a fast-paced, high-tech environment.
  • College degree: BA or BS.
  • Proven mastery of Office applications, including Word, Excel, PowerPoint and Outlook.
  • Interest and experience in using technology to improve work efficiency.
  • Interest and experience in interacting with all levels and departments within a company-to include working with several field offices, domestic and international.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills, detail-oriented, and the ability to handle multiple priorities.

Administrative Associate

Multiple positions available in Mountain View, CA.

We're looking for dynamic, high energy individuals to support executives in several of our operational groups.

The ideal candidates will play a central role in keeping the business operations/activities organized, on track and moving forward. Candidates must have exceptional communication skills, the ability to manage multiple tasks efficiently, excellent judgment; comfortable juggling tasks from the mundane to the more strategic and can work productively in a fast-paced, team-oriented environment with a smile and a sense of humor.

Approximately 70% of the job to entail:

  • Administrative tasks including schedule management, calendar; making travel arrangements and preparing itineraries; submitting and tracking internal requests; coordinating hiring activities and schedules; coordinating meetings and group events; prepare and track expense reports; proofreading documents; participating in key projects; and interfacing with high level executives both internally and externally in a professional, effective manner. Tasks include tracking department budget, maintaining spreadsheets, generating reports, and so on.
  • Must be able to assist in preparation of presentations and assist with correspondence, memos, charts, tables, graphs, plans, etc. Also responsible for attending weekly department staff meetings and track action items.
  • Partner with facilities and operations to help drive required moves that will minimize disruption.
  • Act as liaison with other departments and outside agencies, including senior-level management.
  • Handle highly sensitive, confidential and non-routine information.
Approximately 30% of the job to entail:
  • Forecast business metrics and build metrics reports.
  • Perform metrics analysis to be distributed internally.
  • Coordinate with internal Customers to prepare the (weekly, quarterly, rolling quarters). forecast process by collecting, analyzing and reporting results.
  • Work with corporate finance on budgeting.
  • Address internal and external policy inquiries.
  • Strategically plan for future policy initiatives.
  • Facilitate policy communication and the collection of feedback cross-functionally.
  • Support business and policy objectives by evaluating products and services.
  • Create process and best practices for policy implementation.
Experience/Education:
  • BA or BS from a top flight university.
  • Interest and experience in using technology and the Internet to improve work efficiency.
  • Experience interacting with all levels and departments within a company – to include working with field offices, domestic and international.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills and detail-oriented with the ability to handle multiple priorities.
  • Team player with a positive attitude and a focus on business issues.
